Moving Guide for Commercial Moves

Tagging and Marking System

  • The process of coding floor plans is the first step in developing a logical move plan.  The strategy is to prepare the move to flow in a logical and fluid manner.  Every item to be moved must be identified and labeled so that it may be placed by the mover in its exact destination location.  A tag also will instruct a mover on how to handle that item.

  • Placement of furniture and equipment at your new facility will be identified by number, not by name.  When coding the floor plan, each person and each area being moved must be identified with a single room or area number.  To identify placement location, placards with the proper room numbers should be affixed to the entrance of each individual area and/or room at your new facility.  A blueprint by floor can be a great help to expedite the moving process.

  • Proper tagging and placing of placards will be a key factor in achieving an organized and smooth-flowing move.

  • Color coding by department also helps to ensure a smooth move.  It will save your company time and money.

Packing & Marking Containers, Boxes, and Cartons

  • MAST will supply "tote" cartons, which are uniform in size (making them easier to handle, these expedite the move and can save money). Please contact your relocation representative about purchasing or renting these boxes and/or cartons.

  • Tote cartons fold together and do not require tape for assembly or sealing.  Tote cartons are extremely strong.

  • If you decide to utilize other cartons please make sure that they all have covers and are thoroughly *taped closed.*

  • Cartons are stacked when moved, so please do not over-pack them.  If the carton tops are flat, it will help us to speed up your move.

  • Tag boxes on both ends so that the movers don't have to spend time turning the boxes on dollies to find out where they belong. Please do not tag the cartons on top.

  • MAST can offer your company a variety of heavy duty plastic crates for your move.  These environmentally friendly strong crates can be rented in many sizes for your moving needs.

Computer Equipment and Desktop Machinery

  • Computer equipment should be disconnected by qualified personnel.

  • Drives should be backed up prior to the move.

  • Service, warranty or leasing agents must be notified that you intend to move the equipment.

  • Personal computer equipment will be wrapped and packed into commercial bins by MAST's personnel.

  • Large desktop business machines should be properly tagged, disconnected, and left on their respective desktops.

  • MAST Moving can supply rolling computer carts to move most office equipment.  These specially designed carts provide the speed and handling care needed to relocate sensitive equipment.

  • Each piece must be individually tagged (i.e. the CPU, monitor, keyboard and cables are tagged separately) with the employee's assigned number.  Bubble bags for your keyboards, mouse and cables can be purchased to keep all of the components safe and together.  Mainframe or mini-computer equipment will be pad wrapped and moved by MAST's air-ride vans. Please be sure to ask your relocation representative specifically for an air-ride van for these items.

Standard-Vertical (Narrow) File Cabinets

These file cabinets will be moved with their contents intact.

  • Securely tighten the file holder in the back of each drawer to prevent the contents from slipping.

  • Please tag standard-vertical (narrow) file cabinets on the upper, right-hand corner of the top drawer.

Lateral-Horizontal (Wide) File Cabinets

Due to their light construction and tremendous weight when full, lateral file cabinets should be emptied with the contents packed into cartons or crates.  Failure to do so may result in damage.

  • Lateral file cabinets are tagged on the upper right-hand corner of the top drawer.

Safes & Fireproof File Cabinets

Please check with your MAST move team leader to determine proper handling methods.  Roll-a-Lifts, masonite (to protect the floors) or heavy rigging equipment may be required.

  • Please be sure to check your elevators load capacity for extremely large safes.

Map Cases, Drawing & Tracing Files

These items often must be moved on end.  It is recommended that they be completely emptied prior to being moved.

  • Map cases, drawing files, and tracing files are tagged on the top drawer or on the upper right-hand corner.

  • Special sized crates for your rolled prints can be provided by MAST Moving.

Routing Within the Building

  • Please make building management aware of your move in advance and notify them of any needs or concerns that you may have.

  • Loading/unloading areas, entrances/exits and loading docks must be made available exclusively to the movers.

  • Reserving all elevators for the exclusive use of the mover will also save time (which in turn will save you money).

  • Check to see if reservations  have to be made for elevators or if after hours moves are the rules for your locations.
